How to Request CBAM Embedded Emissions Data from Suppliers: A Spreadsheet Is Not a Data Chain

The form is not the evidence

When an EU customer sends a CBAM spreadsheet, the exporter often forwards it to a sales assistant or a trading company contact. The file may come back completed, but that does not mean the data chain exists. CBAM embedded-emissions work needs a connection between the imported product, the producing facility, the process route, the reporting period, energy or emissions data and the shipment or order being supplied.

A form filled without facility involvement is fragile. It may not explain which plant produced the goods, what period the data covers, whether production volume was allocated correctly, or whether default values or actual data were used.

What to ask from the producing facility

A practical supplier request should ask for the facility name and location, production process, product code, material route, reporting period, production quantity, energy sources, calculation method, direct emissions data where relevant, indirect-emissions data where requested, responsible person and document date. If a supplier cannot provide all items, the gap should be recorded rather than hidden.

The request should also identify order scope. A facility-level number is not automatically tied to one customer's shipment. If the same product comes from multiple factories or if one factory uses different process routes, the customer file should separate those routes.

How to make the workflow durable

Sales owns the customer request and order mapping. Customs or logistics owns the CN code discussion. Production owns facility and process information. Energy management or finance owns energy and production records. Compliance owns the calculation boundary and version control. Without named owners, CBAM data becomes a last-minute Excel exercise.
